We are currently seeking a reliable, organised, and motivated individual to join our team as a Reservations Consultant in a year-round position at Niseko Portfolio.
Working closely with the Guest Experience Manager, the Reservations Consultant will play a key role in managing guest enquiries, coordinating reservations, and ensuring a seamless booking experience from initial enquiry through to arrival.
The ideal candidate will have excellent communication and organisational skills, strong attention to detail, and a proactive approach to delivering exceptional customer service. As a valued member of the team, the Reservations Consultant will be relied upon to maintain accurate booking records, maximise reservation opportunities, and support the smooth and efficient running of daily operations.
Key Responsibilities
- Manage accommodation enquiries and reservations via email, phone and online booking platforms.
- Convert enquiries into confirmed bookings through effective sales techniques and personalised service.
- Provide accurate information on properties, availability, rates and booking conditions.
- Identify opportunities to upsell accommodation and guest services.
- Maintain accurate reservation records and update booking systems.
- Coordinate with Guest Experience, Operations and other departments to ensure a seamless guest journey.
- Assist with booking modifications, cancellations and guest requests.
- Load and manage rates and discount campaigns
- Monitor booking targets and report and suggest campaigns under performing properties
- Contract and provide support to traveling agents
- Update agents on new properties
- Load and manage information including images on websites and Property management system
- Manage owner reservations, including owner stays, availability restrictions and coordination of future bookings.
- Monitor booking deposits, payment deadlines and outstanding balances, coordinating with the Accounting team as required.
- Manage minimum-stay requirements, booking restrictions, special rates and promotional offers across reservation systems and OTA channels.
- Maintain relationships with travel agents and partners, including commission arrangements, booking conditions and regular property updates.
- Prepare regular reservation and sales performance reports, monitor booking pace and occupancy, and recommend strategies to improve underperforming properties.
Requirements
- Previous experience in reservations, hospitality, tourism or customer service is essential.
- Excellent written and verbal English communication skills.
- Conversational level of Japanese.
- Strong organisational skills and attention to detail.
- Confident using reservation systems and online booking platforms.
- Positive, flexible attitude with the ability to work in a fast-paced environment.
- Experience with property management systems (PMS), channel managers and OTA platforms; knowledge of RoomBoss is an advantage.
- Strong sales skills with a proactive approach to converting enquiries into bookings.
- Good numerical and analytical skills, with proficiency in Excel or Google Sheets.
- Ability to work independently, manage multiple priorities and coordinate effectively across departments.
