Terms & Conditions

• At the time of booking we will require a minimum 20% non-refundable deposit.
• A booking will not be confirmed until we receive the deposit payment.
• The balance will be due subject to time of making the booking but will be required 60 days prior to arrival.
• If final payment is not made within required time, we will assume you have chosen to cancel your booking and cancellation fees may apply as detailed below.
• Cancellation fees will be applied in accordance with the applicable cancellation policy below.
• For bookings made within 60 days 100% payment is required.

• If, after a confirmation Invoice has been issued, you wish to change your booking in any way, we will do our best to make these changes, but it may not always be possible and you could incur cancellation fees, together with any additional cost.
• Any request for changes to be made must be received in writing and you may be asked to pay an administration fee of 3,000 JPY per change.
• Cancellation fees will be applied in accordance with below.

Only written notification will be accepted for any changes to bookings including cancellation notice. The date of receipt of the cancellation notice in writing will be deemed the date on which you exercise your right to cancel your accommodation booking.

Cancellation fees as follows:

• More than 30 days - deposit
• 29-8 days 50%
• 7-0 days 100%

Please note that if the reason for your cancellation is covered under the terms of your personal travel insurance policy, you may be able to reclaim these charges. We therefore urge you to ensure you have travel insurance which includes comprehensive cancellation cover from the time of booking.

It is unlikely that we will have to make any changes to your booking, but occasionally we may have to make changes and we reserve the right to do so at any time.

If changes are made to your booking, compensation will not be payable.

If we make any change to your booking, we will inform you as soon as reasonably possible if there is time before your departure. When a major change occurs you will have the choice of accepting the change of arrangements, accepting an offer of an alternative service of comparable standard from us if available, or cancelling your booked service and receiving a full refund of all monies paid less any bank transfer or fees incurred.

• An extra person fee will apply to any booking over the standard number of people in an accommodation. Extra guests will be accommodated on sofa couch or Japanese futons (depending on property).
• The extra fee will be charged at time of booking subject to property and inclusions.
• Due to Japanese fire regulations the Maximum number of occupants per accommodation may not be exceeded.
• Cots and highchairs are free and can be requested at time of booking and are subject to availability.
• At no time can additional guests stay in the accommodation without prior arrangement and consent of the manager.
• External guests are permitted but are not permitted to stay overnight.
• Any extra guests staying overnight without prior arrangement will result in an additional charge per person.

• We require guests to provide their arrival and departure information at least 14 days prior to check-in date.
• We require guests to confirm their preferred bedding configuration (if applicable) at least 14 days prior to check-in. If no configuration is provided, bedding will be set as TWIN bed. Last-minute bedding changes shall be subject to a surcharge.

• You accept responsibility for damage to the property (including apartment common areas), fittings, furniture, keys and other chattels caused during your occupation, including any consequential losses incurred.
• An email address and valid Credit Card are required at check in as a Security Deposit and you authorise us to charge all fees and charges properly chargeable under this agreement to that Credit Card.
• A pre and post stay inspection will be completed and any major damage will be reported.
• Your personal possessions, including lift passes and hire equipment supplied by us, are at your own risk during your stay.

• The accommodation is available for occupation from 3pm.
• The accommodation must be vacated by 10am otherwise agreed in writing.
• In the case of an early arrival or later departure, we will do our best to accommodate if arranged prior to arrival.
• Arrival and departure times must be provided within 7 days of arrival for all guests staying in the accommodation.
• Where we have not confirmed alternative arrangements in writing and accommodation is not vacated by the Check-Out time, a charge of 10,000 JPY for each hour or part thereof may apply.
• Japanese Law requires that we obtain all Guests’ full names, nationalities, copy of passport, postal addresses and occupations at Check-In.
• At time of Check in we will require a credit card which will be held on file to cover any incidental charges. If no credit card available a security deposit equivalent to ¥500,000 in cash will be required.

• The accommodation will be clean and tidy on check-in, beds will be made with fresh linen and bath towels, hand towels and bath matts will be supplied.
• A Mid Stay Clean and Linen Change will be provided if guests are staying 7 nights or more.
• Additional housekeeping including daily cleans or linen change can be provided at extra cost or subject to accommodations and require minimum of 48 hours notice. (subject to
• Garbage will be collected every 2 days subject to property. A garbage collection schedule will be provided in resort. We ask that you separate Garbage into bins provided.
• At check-in complimentary tea, coffee, sugar, body soap, hand soap, conditioning shampoo, dishwasher powder, washing powder, tissues and other cleaning products will be provided.
• Bedding configurations must be supplied at least 14 days prior to arrival.
• Where a bedding configuration is not supplied or is incorrect due to your omission and you request a change to the bedding configuration upon or after arrival additional Housekeeping charges will apply.
• Guest Responsibilities: All guests are required to leave their accommodation in a clean and tidy condition, including:
  
  • Returning all furniture to its original position.
  • Placing all rubbish in the designated bins.
  • Washing and storing all used crockery, cutlery, and cookware, or placing them in the dishwasher and starting the cycle.
• If excessive cleaning is required at time of check out, an additional cleaning fee of up to ¥60,000 will apply.

• No pets are allowed at any accommodation, either inside, outside or remaining in vehicles.

• Parking during winter months is severely restricted and must be requested and confirmed or each booking if required.
• Guests who intend to bring a vehicle must confirm availability of parking with us at the time of booking.
• Parking on the street is illegal and your car may be towed.

• All apartments are strictly non-smoking.
• Smoking is permitted in designated locations outside the property.
• If smoking in designated areas, we ask that all cigarette butts are removed and disposed of.
• If guests smoke in the accommodation they will subject to a fine of ¥500,000 and if they continue to smoke after being requested to stop they will be evicted from property without any refund.

We are able to book a range of activities and services prior to arrival including lift tickets, airport transfers, ski Rental gear.

• In-resort Guest services can be charged to your accommodation and billed at check out.
• Third party guest services bookings are subject to the terms of the vendor. Full payment is required upon confirmation of services availabilities and cancellation policy will be provided.
• All guest services are subject to availability at the time of enquiry.
• Full payment due upon confirmation of guest services subject to vendor booking terms. Non payment will result to services being released and cancelled.
• Cancellation of guest services:
  • A cancellation is any change(s) to a package item, which is not an upgrade or an addition.
  • Cancellation fees will be assessed as follows:
  • 17 days or more prior to check-in will incur an amendment fee of ¥4,000 and may be subject to additional fees.
  • 16 days prior to check-in will incur 100% of the total price.
  • Guest services may not be rescheduled due to changes in travel itinerary or if the guest is unable to attend. Guests may be advised to repurchase services upon check-in at the accommodation.
  • Unused items are non-refundable.
• Peak season cancellation policies may apply to certain services or suppliers. If applicable these will be made available at time of booking.

• If a vehicle is included with a rental property the following conditions of usage will apply.
• All drivers must hold a valid driver’s license :

- For guests coming from abroad, a legally recognized permit is required to drive in Japan, based on their country of issuance:
- Most countries: An International Driving Permit (IDP) under the 1949 Geneva Convention is required. Please ensure you obtain this before arriving in Japan, as IDPs cannot be issued within the country.
- Switzerland, Germany, France, Belgium, Monaco, and Taiwan: A valid home country license with an official Japanese translation (issued by JAF or an authorized body) is required.
- Please confirm that you have the correct documentation before your arrival, as driving without a valid permit is illegal in Japan. (Any failure to provide those documents will results on the removal of the rental car without compensation)

• The vehicle is provided with a full tank of fuel and must be returned with a full tank. If the vehicle is returned with less fuel, a refueling charge will apply
• Fuel Refill Charge for Rental and Property Vehicles
  - Scope :
  These terms and conditions apply to all guests renting a vehicle through Niseko Portfolio or using a property vehicle provided by Niseko Portfolio .
  - Fuel Level Assessment & Charges :
  Upon return of the vehicle, the fuel level will be assessed by our staff. The following fixed charges will apply based on the remaining fuel level:
  Below ¼ tank → ¥15,000
  Below ½ tank → ¥11,250
  Below ¾ tank → ¥7,500
  Between ¾ and full → ¥3,750
  - Authorization & Payment :
  By renting or using a vehicle from Niseko Portfolio, the guest agrees to these fuel refill charges.
  The charge will be automatically applied to the guest’s registered payment method.
• The rental fee includes basic insurance coverage.
• The driver is responsible for any damage to the vehicle, loss of the vehicle, or injuries sustained during the rental period, subject to the terms of the insurance. Any violation of the terms of this agreement may result in the driver being held fully liable for damages.
• The renter is responsible for all traffic violations, parking tickets, and fines incurred during the usage period. The rental company may charge the drivers credit card for any fines received after the rental period, plus an administrative fee.
• The properties parking location will be provided in resort, failure to use the designated parking that results in damage to the vehicle from roof snow shedding, obstructing entrance for snow clearing machinery etc. could result in guests being charged.

Niseko Portfolio or their associated booking agents cannot accept liability, pay compensation, reimburse expenses or accept responsibility where we are forced to make minor or major changes to your booking, or cancel your booking due to ‘force majeure’, that is, unusual or unforeseeable circumstances beyond our control, the consequences of which could not have been avoided even if all due care had been exercised. These include but are not limited to, war,threat of war, riot, civil or political unrest, industrial dispute, terrorist activity threatened or actual and its consequences, natural or nuclear disaster, fire, adverse weather conditions, closure of ports or airports, air traffic control delays, technical problems of transport or other circumstances beyond our control.
